Part-Time Chief of Staff, Executive Operations
We are seeking a thoughtful, highly organized Part-Time Chief of Staff to strengthen the operating rhythm of our Executive Leadership Team.
ABOUT CYPERUS
Cyperus is an integrated production partner for organizations that need live events and content delivered with technical precision, creative intention, and reliable execution. We bring live events, enterprise A/V, narrative production, and post-production together under one team.
Our culture is collaborative, composed, and accountable. We prepare carefully, communicate clearly, share expertise, and stay calm when the stakes are high. We trust people to own their work while remaining attentive to how their decisions affect clients, audiences, and teammates. The standard is enterprise-ready; the working environment is direct, resourceful, and human.
Because we are a focused, multidisciplinary company, employees are not confined to a single lane. We actively support cross-functional learning and skill development for people who want to deepen their expertise, learn adjacent areas of the business, and take on broader responsibility as their capabilities grow. This role has a clear mandate, but it does not have to define the limit of someone’s career at Cyperus. We welcome ambitious candidates who want to master the work in front of them, build new capabilities, and grow with the company.
THE ROLE
We are seeking a thoughtful, highly organized Part-Time Chief of Staff to strengthen the operating rhythm of our Executive Leadership Team.
This is a support role for Cyperus’s strategic leadership team. The ELT owns strategy and decision-making. The Chief of Staff supports that process but is not a decision-maker but has strong influence on decision making. This role provides the structure and coordination that help leadership operate effectively: preparing meetings and materials, gathering information, documenting decisions, tracking commitments, and ensuring follow-through.
This is a hands-on executive-operations role for someone who brings clarity to ambiguity, communicates with precision, and follows through without needing constant direction. It is designed as a long-term, year-round position.
PRIMARILY REMOTE BUT MUST BE AVAILABLE FOR IN PERSON MEETINGS IN THE SAN FRANCISCO BAY AREA UP TO TWICE A MONTH.
COMPENSATION
The pay range is $35–$45 per hour, based on relevant experience.
RESPONSIBILITIES
— Prepare agendas, pre-reads, briefing notes, presentations, and supporting materials for recurring ELT meetings and company town halls.
— Attend designated leadership meetings and capture decisions, action items, accountable owners, and deadlines.
— Maintain the decision log and action tracker using productivity tools.
— Follow up with ELT members and task owners, identify stalled work, and highlight risks before deadlines slip.
— Produce a concise weekly update covering progress, upcoming meetings, open items, and matters requiring executive attention.
— Coordinate across leaders and teams to gather requested input and keep work organized.
— Gather requested information and organize it into concise summaries.
— Improve ELT templates, documentation, workflows, and other repeatable operating practices.
— Support one clearly defined special project at a time, as capacity allows.
— Handle confidential information with discretion.
WHAT SUCCESS LOOKS LIKE
DURING YOUR FIRST 90 DAYS
— ELT meetings are consistently well prepared, focused, and documented.
— Decisions and commitments have clear owners and due dates.
— Leadership receives timely follow-up without having to reconstruct context or chase updates.
— Risks, dependencies, and unresolved questions become visible early.
— The ELT has a lightweight, trusted system for tracking priorities, decisions, and accountability.
— You complete or materially advance one high-value process improvement or special project.
Strong candidates may come from more than one professional path. You may have at least three years of experience in Chief of Staff work, executive operations, business operations, project or program coordination, consulting, or senior executive support. Or, you may currently work in live events, A/V, video production, or a related field and have developed the organizational, communication, discretion, and follow-through skills this role requires.
We welcome applicants seeking a consistent, year-round part-time position alongside other professional work, provided they can meet the agreed schedule and manage any potential conflicts of interest.
— Excellent written communication, with the ability to turn complex or incomplete information into a clear, concise summary.
— Strong organization, prioritization, and follow-through across multiple senior stakeholders.
— Sound judgment and a high level of discretion when working with sensitive information.
— Confidence working independently in a remote and primarily asynchronous environment.
— Dependable availability for agreed-upon ELT meetings and core collaboration hours.
— Comfort using common document, presentation, collaboration, video-conferencing, AI tools (when appropriate), and project-tracking tools.
— A practical working style and the confidence to seek clarification, flag missing information, and follow up respectfully.
— The ability to move comfortably between written, organizational, and administrative work.
** Experience in the A/V or Videography industries is helpful, but not required.
HOW TO APPLY
Please submit your résumé or LinkedIn profile through the LinkedIn job post.
We welcome candidates with transferable experience, even if they have not previously held the title “Chief of Staff.” If this role matches how you think and work, we encourage you to apply.
